Staff Request Procedures and Expectations
The Makerspace Staff is committed to offering a variety of entry points for faculty, staff, and students to interact with our spaces. Throughout the academic year, we offer open hours, curricular support to faculty, one-off workshops, and other events to encourage the use of our spaces by as many people as possible.
We also welcome small groups (5-12) of faculty, staff, and students to schedule private workshops and events in the Makerspaces. These include, for example:
- Departmental team building
- Co-curricular student activities, including collaborations with CAs and other groups
- Educational workshops for staff/faculty
If you are interested in scheduling this type of event in our Makerspaces, we ask that you comply with the following requirements:
Requesting Makerspace workshops and events:
- We can typically accommodate groups of up to 12 attendees. If you are hoping to schedule something for more people than that, reach out to the Makerspace Staff to discuss in more detail. These kinds of events may take longer than three weeks to plan and accommodate or may not be possible at all.
- Requests for trainings, orientations and equipment use must be made a minimum of three weeks in advance. This timeframe is based on our Staff’s availability and to be considerate of student reservations and curricular use. - A Makerspace Orientation is required for students/staff to work in the makerspaces. A 20-30 minute orientation will be held at the beginning of each workshop, unless every participant has previously received an orientation credential.
- Machine certifications are not a guaranteed outcome of workshops or events, even if specific machines are used. If you would like attendees to receive their certification to use specific machines as part of the workshops, please let us know and we may be able to integrate this into the workshop. This may add 1 to 2 hours to the workshop.
- Attendees of the workshop/event are responsible for assisting in cleaning up workspaces after a workshop/event, or before the end of their reservation time.
Attendee Requirements:
Please share this information with your group prior to attending:
- Closed toed shoes are required (Crocs do not count!)
- No food or drink is allowed inside the Makerspaces (closed drink containers are ok, and eating is allowed in outdoor areas outside of the Makerspace facilities.)
- No outside tools or materials are allowed, unless specifically cleared by Makerspace Staff in advance of the event.
- No tools may be removed from the Makerspace shops for any reason.
Consumables / Materials:
The Makerspaces strive to break down barriers of entry for students, faculty, and staff. Thus, we do stock a range of materials for use in the Makerspace shops. Staff should share project parameters, estimated attendance, and other details in the planning process so that we can ensure sufficient materials for your workshop, training or event. We may offer suggestions for optimizing material use or reducing project scope. If materials need to be ordered that exceed our regular supply, the lead time for purchasing and delivery of any new material request is typically 3 weeks. We don’t stock consumable for projects or events that happen outside of the footprint of the Makerspace studios.
If you are interested in offering a custom workshop that utilizes materials that we don’t typically stock, we ask that you provide these items (e.g. for making custom hats – you order the baseball caps and patches and we provide the space, glue, scissors, thread, needles, irons, and ironing boards).
Attendance and No-Show Policy:
- Makerspaces staff will confirm your reservation via email and may send information for you to share with your group.
- To ensure attendance, you are responsible for creating a calendar invite. Please invite everyone on your team and encourage them to RSVP in a timely manner. Also invite workshop facilitators with whom you have been in contact (see contact information below).
- If you need to cancel or reschedule, please contact us at least 48 hours in advance. We will attempt to reschedule as soon as possible, however this process may be up to 3 weeks from the date of cancellation.
- It takes considerable time and resources to prepare for these types of events. If you do not show up during the allotted time without advance notice, you will not be able to schedule another event until meeting with the Makerspace Staff to discuss your absence and next steps.
